Our Role as Your Property Manager

HGC Property Management acts as the owner's agent in the day-to-day management of residential rental properties. Our responsibilities include, but are not limited to:

  • Marketing and leasing coordination
  • Tenant screening in compliance with Fair Housing Laws
  • Rent collection and owner accounting
  • Maintenance coordination using qualified, insured vendors
  • Compliance with applicable NC and VA laws


All services are performed in accordance with the executed management agreement.

Our Role as Your Property Manager

To ensure effective management, owners are expected to:

  • Maintain the property in a habitable condition as required by law
  • Fund the property adequately to cover repairs, maintenance, and operating expenses
  • Respond to approval requests within agreed-upon timeframes
  • Respect the professional judgement of management regarding legal compliance and risk mitigation
  • Communicate directly with HGC (not tenants or vendors) unless otherwise agreed in writing

HGC is committed to clear and consistent communication.

  • Owners receive updates related to leasing activity, maintenance, and financial performance based on their selected communication preferences
  • Routine matters are handled during normal business hours
  • Emergency issues impacting health or safety are prioritized immediately
  • Email is the primary method of communication for documentation and clarity


Response times may vary based on urgency, complexity, and volume.

Owners acknowledge that:

  • HGC must operate within the bounds of state and federal law, even when an owner preference differs
  • Decisions impacting habitability, safety, or legal compliance may be acted upon without delay in accordance with the management agreement
  • Tenant screening decisions are made using objective, non-discriminatory criteria and are not subject to owner override

Maintenance Philosophy

Financial Management & Disbursements

HGC coordinates maintenance using reputable, insured vendors.

  • Repairs impacting habitability or safety are prioritized
  • Owner approval threshold outlined in the management agreement are strictly followed
  • Owner-preferred or approved vendors may be used when provided in advance
  • Preventative maintenance is encouraged to reduce long-term costs and risk

Financial Management & Disbursements

Owner receive clear financial reporting and timely disbursements.

  • Owner statements are provided in accordance with the management agreement
  • Disbursements are processed on established schedules (15th and 25th)
  • Funds must clear and reserve requirements must be met prior to distribution

HGC operates with a strong emphasis on compliance and risk reduction.

  • All actions are taken in accordance with NC & VA statutes
  • Fair Housing laws are strictly followed

  • Final legal decisions remain the responsibility of the property owner
